The Renewal Event Charter
This charter declares our standards of service and is your guarantee of total satisfaction.
Your Initial Enquiry
- Your enquiry will be handled by dedicated, professional, event executives who will offer you an opportunity to view the facilities and discuss your requirements.
- You will receive a brochure, pricing information, terms & conditions of business and an outline proposal (where appropriate) within two working days, from initial enquiry.
- As an ethical business, we will only suggest solutions that are genuinely suitable for your particular needs.
- As an ethical business, we will not conceal any hidden extras, our charges will be clearly presented.
Your Booking
- The full details of your booking will be confirmed, by e-mail, letter or contract, within two working days of receiving a verbal booking.
- Account details and billing arrangements will be agreed when you confirm your booking. Changes or any supplementary charges will only be made on receipt of your signed authorisation.
- We will contact you, at least three working days, before your event to check final details and timings.
Our Service
- The Conference Manager, or a senior member of staff, will ensure the smooth running of your event. They will meet with you when you arrive and check with you that all details and timings are as required.
- Your main conference room and syndicate areas will be refreshed during meal breaks.
- Your refreshments and meals will be served promptly, at your requested times.
- In accordance with Health & Safety requirements, we will provide you with clear, written instructions on fire and safety procedures, before your event starts.
- Telephone messages and faxes will be given to you at an appropriate break in your event, unless otherwise advised.
Our Facilities
- We will set up your conference room, as briefed, at the agreed time before your event is due to start. If, at the last minute, you need to change anything, we will do everything possible to help you.
- All of our equipment will be fully tested, prior to your event. If you are linking up your computer / laptop to our system, we suggest that this is done well in advance, in case of 'lack of compatibility' or the need to alter your configuration settings. If you would like, we will also provide a demonstration of how our equipment works, before your event starts.
- We will demonstrate to you that all air-conditioning / heating equipment and lighting controls are correctly working (and explain their operation), prior to the start of your event.
- Unless you advise us that you require total privacy, we will clearly display the name of your company and the name & location of your event on our reception's Scanlite display system.
Your Invoice
- If credit facilities have been pre-arranged, our invoice will be despatched no later than five working days after your event is concluded. It will be clearly presented and reflect our written quotation. Only itemised extras which have been authorised and agreed on the day of the event, by you (or a nominated signatory) will be added.
- If no credit facilities have been pre-arranged, your payment will be required, prior to your departure, using an agreed credit card.
- If you have any queries, we will respond to them within five working days.
